Project plan for setting up a youth camp

Help the Öregkő Foundation turn the full preparation of the Bajót Refuge youth camp into a project plan: from the necessary conditions and risks, through scheduling, tasks and responsibilities, to promotion and communication.

The Öregkő Foundation builds community and nature-based initiatives in the Bajót area that let people experience a healthy, environmentally conscious and sustainable way of life. Its mission includes strengthening respect for and knowledge of nature, and spreading the principles of healthy eating, regular exercise, physical and mental wellbeing, and organic-regenerative farming. Its small local community programmes also help connect rural and urban people while passing on sustainability values. In recent years the team has gained experience organising festivals and retreats, and by developing the Bajót Refuge it wants to place its community and youth programmes within a more lasting, better organised framework.

What kind of pro bono support are we looking for?

We are looking for a corporate professional with experience organising events, youth programmes, camps or complex events, who can guide the Öregkő Foundation through preparing the first youth camp at the Bajót Refuge with a strong project management mindset. We do not expect the expert to know every law, regulatory requirement or technical standard by heart. Their job is to recognise the critical questions and risks that must be clarified before the camp can start – for example catering, child supervision, health and safety, on-site conditions, responsibilities and required documents – and then help define exactly what needs to be researched, who needs to be involved, which tasks need to be assigned and in what order. The outcome of the project is an actionable project plan that, alongside compliance questions, covers programme preparation, resources, scheduling, responsibilities, key risks, and the promotion and communication tasks needed to reach participants. During the project the expert does not act as a legal adviser or handle official procedures, but as a project owner who makes sure no important question goes unnoticed and that the foundation can work through the preparation consistently.

Application requirements and participation details

What professional knowledge is required?

Planning and delivering complex event or camp projects, project management, breaking down tasks and responsibilities, scheduling, risk management, coordinating suppliers and external experts, event logistics, operational aspects of children’s or youth programmes, basic cost and resource planning, as well as event communication and participant recruitment. Detailed knowledge of every specific regulation is not expected, but it is important to recognise which questions need to be checked with a specialist or the authorities.

What level of expertise is expected?

Experienced – We are looking for an independent project manager or event professional who has already delivered multi-stakeholder, deadline-driven event or programme projects, and can turn an initially uncertain task into a clear work plan. They should be able to ask the right questions, recognise risks, assign tasks, set owners and deadlines, and follow up to make sure critical open questions actually get closed.

What experience is an advantage?

Organising youth or children’s programmes, summer camps, festivals, family events, corporate events, accommodation-based programmes or multi-day events; hands-on experience with catering, child supervision, health, safety or event logistics risks; coordinating suppliers and external specialists; event communication, registration and participant recruitment.

What soft skills are needed?

A project-owner mindset, systems thinking, good questioning technique, risk awareness, structured problem solving, prioritisation, meeting deadlines, delegation, assertive follow-up, clear communication, and the ability to turn missing professional answers into concrete research tasks.

How many people are needed?

1 person

Conditions and expectations

On the organisation’s side, two people can dedicate a total of about 6 hours per week to the project. The work can take place online, in Budapest and, if needed, on site in Bajót. The expert’s task is to set up the structure of the entire camp preparation project and to guide the foundation through clarifying the critical questions and taking the first implementation steps. They do not need to answer every legal, food safety, child protection, health or technical question from their own expertise: where appropriate, they should identify a separate expert, service provider or official source of information. The project does not include taking over official procedures, architectural or technical design, construction, legal representation or the operational running of the camp itself. However, the project must reach a point where the foundation knows what needs to be solved, by whom and by when, in order to launch the camp safely and in compliance with the rules.

What tasks do we need pro bono help with?

Clarifying the purpose, target group, number of participants, duration and basic programme concept of the planned youth camp. Breaking the full preparation down into main workstreams: venue and infrastructure; accommodation and hygiene; catering; child supervision and responsibilities; health and safety; programmes; staff and volunteers; required documents and consents; suppliers; costs; registration; participant communication; promotion and recruitment. For each workstream, identifying what is known, what is missing, what needs to be researched, and which questions require a separate legal, regulatory, food safety, child protection, health, technical or other specialist. Assigning concrete research and decision-preparation tasks with owners and deadlines. Recording the main risks and decision points, and defining risk mitigation actions. Mapping task dependencies and the critical path, then drawing up a detailed schedule from planning to the start of the camp. Preparing the outline of a communication and promotion plan to reach participants: target groups, key messages, channels, registration process, communication schedule and owners. Setting up a shared project tracker to follow tasks, owners, deadlines, dependencies and statuses. At regular project check-ins, reviewing open questions and blockers, and assigning new tasks or external expert requests as needed. By the end of the project, putting together a complete, actionable camp preparation project plan and a pre-launch checklist.

Our ideal candidate

An experienced event or project manager who has already organised complex, multi-stakeholder events and, ideally, has dealt with the specific questions of children’s or youth events. What makes them ideal is not being an expert in every field, but knowing which questions to ask, when to turn to an external specialist, how to turn answers into tasks and decisions, and how to see a project through consistently from planning to launch.

Why does this matter?

The Öregkő Foundation already has a venue, community experience and programme ideas, but launching a youth camp means solving many interconnected questions in the right order. A strong project plan makes every critical task visible – from catering and child supervision through safety questions and involving external experts to reaching participants – so the organisation is not caught out later by a missing requirement.

What does this role offer?

The chance to use your event and project management experience to help launch a real, tangible community programme. Your work does not end with a theoretical plan: you can build a task and scheduling system that the foundation can actually follow, and that leaves behind an operating model it can reuse when preparing future camps.
